What you’ll be doing

This is an exciting opportunity for a Personal Assistant, to  provide assistance and support to our four Directors within the Strategy and Regulatory Affairs leadership team, helping them and their teams meet their operational, commercial and professional objectives.

You will act as the first point of contact for enquiries from internal or external customers, meeting and greeting key stakeholders, processing and replying to sensitive and confidential correspondence on behalf of the Directors, forwarding requests as appropriate.

Responsible for maintaining data in accordance with GDPR, business procedures, agreed standards, and service levels, using company-specific systems, ensuring records are accurate and up to date. You will also organise meetings, events, and departmental activities, taking minutes and recording actions where appropriate as well as arranging travel and booking venues as required.

Manage Director diaries and expenses as well as raise POs as required and ensure approvals and authorisations are dealt with in a timely manner. Support Customer Challenge Group secretariat with admin including collating and circulating papers to members, processing expenses claims, and following up on actions.

We’re looking for you to

  • Excellent organisational, prioritisation, and decision-making skills
  • Experience in managing multiple calendars with many conflicting priorities
  • Ability to show tact, diplomacy, and understanding whilst working with extremely confidential material
  • Must have the ability to quickly learn the organisational structure and the objectives of the Director and their team as well as dealing with complexity within a large complex organisation
  • Highly proficient in Microsoft Outlook, Excel, Word and PowerPoint
  • Exceptional written, verbal, and interpersonal skills
  • Significant previous experience of supporting senior Executives
  • Strong judgment, decision making, time management, and prioritisation
