10-12 Month Fixed Term Contract

As the Governance Co-ordinator, you will be responsible for the coordination of the monthly Investment Portfolio Boards and Portfolio Investment Committee, interfacing with the Senior Leadership Group and Executive. You will manage the preparation of materials, processing submissions and change forms, ensuring the organisation of the meetings, and that they run smoothly. You will deliver best practice control, assurance and governance services. 

A key part of the role involves networking internally with key stakeholders, and you will act as an advisor to the business on Governance processes. You will communicate the business updates or changes to the Governance processes, ensuring the Governance SharePoint site, SAP (Corporate System) and other databases are kept up to date. You will strive to continuously improve the Governance processes and ensure that they are fit for purpose, complying with best practice and relevant legislation, and are aligned with the Company’s strategy and public value framework.

What you’ll be doing as a Governance Coordinator

  • Manage the smooth running of the monthly governance forums and ensure that governance adheres.
  • Quality control all documents circulated to the business, including but not limited to; Governance submissions, meeting packs, reports, SAP data input.
  • Provide effective meeting facilitation and secretariat to include minutes and action taking at the meetings, and pursuing outstanding actions.
  • Manage the ongoing maintenance of the Governance Business Case and Excel templates and provide guidance to new users via training videos, lunch and learns, how to guides and one on one sessions.
  • Provide timely funding release to approved projects and process budget transfer / release in SAP Project Systems.
  • Ensure all controlled documentation is stored appropriately for auditing purposes and be the first point of contact for the half-year and year-end external audits.
  • Working with internal stakeholders, such as, but not limited to: Finance, AO&CD, Regulation, Major Programmes & Projects, Digital, Retail, Principal Sponsors, Programme/ Project Managers and teams; to scrutinise and challenge investment propositions and to support analysis of the Governance forums.
  • Support the Senior Investment Governance Controller and the Head of Investment Governance with the continuous improvement of the Governance and Stage Gate.
  • Contribute to building a high-performing Governance team.

Base location: Reading - Hybrid

Working pattern: 36 Hours

What you should bring to the role

  • Previous experience in a senior administrative role with the ability to communicate effectively at all levels (verbal & written.
  • Good stakeholder management: capable of balancing different organisations’ requirements. 
  • Able to adapt quickly to changing situations.
  • Be proactive and comfortable engaging with senior managers.
  • Highly organised and able to multitask to meet various priorities and deliver an efficient service to the business.
  • Excellent project management and presentation skills.
  • Effective communicator.
  • Basic Microsoft Office software proficiency (particularly EXCEL and PowerPoint) 
  • Exposure to SAP would be beneficial.
  • Knowledge of corporate governance processes, terminology, and experience in project management practices is advantageous.
  • Strong Financial Acumen.
