About the role:

An exciting opportunity to join Thames Water as a Personal Assistant & Business Support has come up, this is to help cover Maternity leave. You will aid and support to Executive Leadership Group (ELG) members to help them and their team meet their operational, commercial, and professional objectives. In addition, provide business support to the wider management team.

Key Accountabilities:

  • Act as the first point of contact for enquiries from internal or external customers, meeting and greeting key stakeholders.
  • Handling sensitive information on behalf of senior management.
  • File and maintain data in accordance with data protection laws, business procedures, established standards and service levels, using company-specific systems, ensuring records are accurate and up to date
  • Produce standard reports, preparing papers, presentations, and documents for use by the ELG member, their team or department, ensuring stakeholders are prepared in advance.
  • Diary management for ELG member and direct management team. Organise meetings, events, and departmental activities.
  • Taking minutes and recording actions where appropriate as well as arranging travel and booking venues as needed.  
  • Manage ELG member diaries and expenses as well as raising purchase orders as requested
  • Ensuring approvals and ELG authorisations are dealt with in a timely manner.
  • General business support for leadership team including but not limited to the following:
    • Management of shopping carts and PPE orders across OPALIM.
    • Preparing of induction packs for new starters.
    • Note taking for hearings in line with Thames Water policies and procedures.
    • Management of Documentum, granting access and permissions.
    • Management of lead team annual leave and escalation rotas.
    • Booking travel. 

To be successful you will have the following skills and background:

  • Courteous and highly organised professional with excellent verbal and written communication skills.
  • Providing personal assistance and administrative support to senior leaders.
  • Reasonable numeracy skills.
  • Can do self-starter with the ability to learn and apply knowledge of the business area.
  • Fully able at using Office software including, Powerpoint, Word, Excel. Quick to learn new corporate IT systems e.g. SAP, Documentum.
