Thames Water have an exciting opportunity for a Document Controller to join the London Tideway Tunnel Project on a fixed term contract of 19 to 24 months.

About the role:

Responsible for the overall control of all departmental documentation.

The Document Controller reports directly to the Business Process Manager and is responsible for accurate management and safeguarding of London Tideway Tunnel project documentation generated by the department and contractors in support of the ongoing operation of the department and, in a manner, that will enable all relevant parties to quickly retrieve them. This includes, but is not limited to, operating processes and procedures, manuals, reporting, correspondence and other supporting documentation.

This role involves working to tight deadlines and ensuring that all parties both internal and external are following the same processes and procedures.

The document controller is required to develop and implement processes related to document control and management and perform regular audits to confirm the validity of the documentation.

This is a progressive project that requires you to be open to changes on priorities and deadlines.

Main Responsibilities:

  • Ensure day to day activities are completed with accuracy and within deadlines agreed
  • Responsible for file validation and document controlling
  • Maintaining the project filling systems
  • Monitoring document controlling processes
  • Co-ordinating with teams within the department and external stakeholders
  • Submitting project documents punctually and with quality
  • Performing regular audits on project documents to ensure that they have been properly submitted to other teams, departments and/or external stakeholders
  • Effectively follow the company’s standard operating procedures in submissions of documents

What we are looking for you to have:

  •       Must have practical / hands-on experience in document management.
  •       Must have experience of IT systems, preferably on SharePoint and Office 365.
  •       Excellent Microsoft Office software knowledge
  •       Good working knowledge of Adobe Acrobat
  •       Good working knowledge of ASITE/EDMS software is an advantage
  •       Excellent organisational skills
  • Good communication skills for co-ordination between the various internal and external stakeholders
  •       Ability to monitor and evaluate systems and to look for improvements
  •       Able to work in a fast-paced and deadline-driven environment
  •       Self-directed and highly motivated
  •       Detail-oriented, dependable and trustworthy
  •       Ideally good written and spoken communication abilities
