We are looking for a Business Support to join Thames Water permanently.
Working Location – Bishops Stortford - CM22 7QL, Bracknell - RG42 5NE, East Hyde - Luton - LU1 3TS, Maple Lodge - Rickmansworth - WD3 9SQ, Rye Meads Sewage Works - SG12 8JY, Slough - SL1 9EB
Working Hours - 36 hours per week, Monday – Friday.
What will you be doing as a Business Support?
You will provide administrative support to Performance Managers to enable them to meet their operational and commercial objectives.
- Manage SharePoint, adding and modifying documents.
- Organise meetings & conference calls, produce agenda packs and capture actions.
- Disciplinary note-taking.
- Manage the administration of changing the Out of Hours phone, if applicable.
- Create and distribute a daily out-of-hours report.
- Collate and report abnormal weather when appropriate.
- Co-ordinate/audit the completion of weekly and monthly reports, e.g. cockpit report.
- Run resourcing reports on overtime/call-out hours worked, if required.
- Assist the Performance Manager with facilities issues at the site base for the day. (e.g. deliveries and visitors)
- Raise and track jobs for EMCOR.
- Support the management of site meeting rooms.
- Order and chase PPE, phone, stationery, tough books, laptop, ID badge, etc.
- Support the booking of new starters onto training (e.g. induction, technical training, H&S training)
- Raise safety hazards on safeguard when required by technicians, performance managers or other site visitors.
- Create weekly Safeguard reports, including near misses, overdue action reporting and monthly SHE audits completed.
- Raise and receipt all orders for all Performance Managers and operational teams.
- Support the finance department in the completion of KSB2.
- Organise sessions on sites, e.g. frontline engagement sessions or occupational health visits.
To thrive in this role, the essential criteria you’ll need are
- Extensive office administrative experience.
- Fully proficient at using IT systems, ideally with experience of using purchasing systems to raise and receive orders.
- Confident using Excel to analyse and manipulate data.
- Highly organised and motivated.
- A team player and able to work independently.
- Able to consistently produce work of a high standard with strong attention to detail.
- Excellent interpersonal skills - able to communicate in a friendly, open and constructive manner with a range of people.
- Able to work on own initiative with minimal supervision and be proactive.
